1. Proposal
The first step in the process is to
respond to the Request for
Proposal/Information sent across by the
client. Quantum assigns a Senior
Architect / Engineer as the Engagement Manager to
interact with the client to seek
clarifications and act as the single
point of contact for the client. The
Engagement Manager then continues to
manage the project once the same has
been awarded to Quantum.
Once all the data has been collated, it
is analyzed and the effort required for
executing the project is estimated.
While responding to the Request for
Proposal, our team gathers the following
information:
• Project Schedule
• Sketches/Design Development CAD
Drawings
• Marked up PDF files indicating
additional information /
modification,
comments.
• CAD Standards
• Reference Set
In most of the cases, the client uploads
the necessary information on Quantum's
FTP site.
Transparency is one of the key tenets of
our Project Governance framework and
hence the effort estimates along with
the cost estimate is shared with the
client during the proposal stage.
Subsequent to the finalization of
contract a joint project kickoff meeting
(in most cases telephonically) is held to set the
ball rolling.
As mentioned earlier the Engagement
Manager continues to maintain complete
ownership of the project and is able to
lay the foundation to establishing a
long lasting relationship with the
client.
2. Pilot
Since quite a few of our clients are
initiated to outsourcing for the first
time, we start the outsourcing
engagement with a pilot project. This
provides our clients with an opportunity
to streamline their processes and also
gives us an opportunity to understand
their way of working and their
expectations.
During the pilot project some of the
aspects that get streamlined are:
• Communication Strategy
• Knowledge Management (building
repository of
templates, blocks that
will be used for the subsequent
projects)
• Project Management (frequency of
status review
meetings, frequency of
delivery)
The pilot project lays the foundation
for establishing a longer term
relationship.
Post the pilot project, Quantum can
engage in two possible business models
i.e.
• Project Based Model
• Dedicated Center Model |

3. Project Management
Quantum follows a comprehensive project
management methodology. The methodology
is simple, comprehensive and proven. The
key elements of the methodology are:
• Creation of project schedule as per
client's requirements • Clearly defined project deliverables,
dependency and objectives • Continuous and direct communication
with the client • Focus on Effective Knowledge
management • Visibility through Timesheets and
Project Status Reviews
Project Management can be divided into
three broad areas namely:
• Planning • Estimating using Empirical Models • Clear Identification of Scope &
Schedule • In-depth understanding of client's
Documentation Standards • Development of Standards and
Guidelines • The purpose of this activity is to
develop templates that clearly describe
all CAD related standards.
• Monitoring • Maintain daily timesheets to monitor
the time spent on projects • Take regular inputs from the client on
the deliverables
submitted • Conduct regular reviews with the
client
• Documentation • Develop Quality Standards • The purpose of this activity is to
develop processes that will serve as an
external review mechanism for all the
other processes • Perform Quality Inspection of the
deliverables • Create checklists to ensure adherence
to CAD standards • Create a reusable repository of client
specific standards and templates
Communication
Communication is one of the critical
success factors. The team pays a lot of
emphasis on ensuring that there are no
communication gaps. This is accomplished
through emails, FTP links and weekly
review meetings via teleconferencing. Besides this if
deemed necessary member from the
offshore team are sent onsite to
understand the project dynamics and
design.
Time zone differences are a huge
value-add, if handled with care. Quantum
ensures that the project teams have a
few hours of overlap with the client.
This goes a long way in ensuring the
success of the engagement
4. Quality Management
Quantum uses a dual process Quality
Control system. Once drawings with
necessary changes to be made are
received from clients, our quality
control personnel highlight the changes
to be made. The project team then takes
over the drawing to make the necessary
revisions. As the changes are made on
computer file, they are simultaneously
yellowed out using a highlighter to
ensure that all the changes are
registered in the drawing.
After the project team completes the
revisions, the quality control personnel
double checks the revisions. After the
final checking the drawings are e-mailed
to the client or uploaded on the FTP as
the case may be. |
